Allow Administrative Classification of Closed Reports

Introduce a dedicated, auditable Administrative Classification section that remains editable after a report is closed.

This would allow authorised users to retrospectively apply new reporting categories, trend indicators, classifications, and other metadata to historical records without reopening the report or altering its original workflow history.

Business Need

Reporting requirements evolve over time, and new categories or trend indicators are often introduced after reports have already been closed.

Currently, organisations must either:

  • Reopen historical reports, or

  • Request database updates through Vellox.

Neither option provides a scalable, fully auditable solution.

Proposed Solution

Provide an Administrative Classification section that:

  • Remains editable after report closure.

  • Is separate from the original report content.

  • Maintains a full audit trail of changes.

  • Records who made the update and when.

  • Supports retrospective classification of historical records.

Benefits

  • Preserves the integrity of the original report and workflow history.

  • Eliminates the need to reopen closed reports.

  • Reduces reliance on database updates.

  • Improves trend analysis and historical reporting.

  • Supports evolving business and regulatory requirements.

  • Provides a clear audit trail for retrospective classifications.

Example Use Case

A new "Emerging Trend" category is introduced. Rather than reopening historical reports or requesting database updates, authorised users can retrospectively apply the classification to relevant closed reports through the Administrative Classification section, with all changes fully auditable.

Preferred Outcome

Enable organisations to retrospectively classify and categorise closed records in a controlled, auditable manner while preserving the integrity of the original report and workflow history.
